Job overview

We are looking for self-motivated and highly organized individuals with previous medical secretarial experience to undertake a very demanding role within the department of Ophthalmology at the Royal Victoria Infirmary.

Main duties of the job

The post involves providing an efficient support secretarial and administrative service to Consultants and their multidisciplinary teams. In addition to this the successful candidate will be expected to assist with patient enquiries.   

As well as having effective organisational, communication and interpersonal skills it is essential that the applicant is able to prioritise work, handle difficult situations and have a flexible approach to working and work part of a team.

Detailed job description and main responsibilities

  • Working within a team of administrative staff to provide a comprehensive an administrative and secretarial support service to Consultants, Medical Staff and other clinical members of their team i.e. Specialist Nurses.
  • Communicates with patients regarding appointments and admissions at the request of the medical staff.
  • Provide cover for Senior Medical Secretary / Team Leader as required
  • Cover Medical Secretary/Support Secretary posts Trust wide as required.

Person specification

Qualifications & Education

Essential criteria
  • • Appropriate NVQ III Certificate (e.g. Business Administration, Secretarial Support etc) or equivalent level qualifications / relevant experience
  • • English Language qualification to GCSE level 4 (or above) or equivalent level qualification / relevant experience
Desirable criteria
  • • OCR / RSA III

Knowledge & Experience

Essential criteria
  • Experience of secretarial procedures
  • Audio typing experience
Desirable criteria
  • • NHS secretarial experience
  • • Working Knowledge of NHS Systems e.g. eRecord
  • • Knowledge of Medical Terminology

Skills & Abilities

Essential criteria
  • • IT skills to include office software packages
  • • Advanced keyboard skills including a high standard of word processing skills (e.g. OCR / RSA II or equivalent level qualification / experience)
  • • Excellent communication skills
